These are the questions HVAC owners ask us most often about AI, with short answers in the list above. Below, we expand on the four themes that come up in nearly every first conversation: cost, risk, privacy and control. For anything not covered, our contact page explains how to reach us.
Frequently asked questions
How much does AI help for an HVAC company cost with you?
AI work is scoped inside our HVAC plans, which start at $2,998 per month, plus GST/HST at your province's rate. The AI tool itself is a separate cost set by its vendor, and how that cost is handled is written into your proposal line by line.
Are we locked into a contract?
No lock-in. Notice and billing terms are confirmed in writing in your proposal, and every engagement starts with a 7-day free trial with no credit card.
How long until an AI tool is live?
Usually about two weeks of audit, scripting and testing, then a 30-day pilot on part of your traffic. Phone-system or CRM complications can add time, and we'll tell you early if they do.
We tried an agency before and got nothing measurable. Why is this different?
Every AI project here starts with your own baseline numbers and a written success target, and ends with a keep, change or stop decision at day 30. If the numbers don't work, we recommend switching the tool off.
Who owns the accounts, data and scripts?
You do. AI tool accounts should be in your company's name, and the scripts, templates, prompts and reports we build for you are yours to keep.
Can you promise more booked jobs?
No. Nobody honest can. We can show the arithmetic, run a fair pilot, and report the results plainly, including when they are disappointing.
What happens when the AI says something wrong to a customer?
Your staff correct it with the customer, the error is logged, and the script or prompt is fixed before the same situation comes up again. Safety-related errors pause the AI immediately.
Will customers hate talking to a machine?
Some will. That's why the AI discloses itself, is used mainly for overflow and after-hours, and passes callers to a person when they ask. Early hang-ups and complaints are tracked from day one.
Is it legal to record calls for AI?
Federal privacy guidance expects you to tell callers a call is recorded, explain why, and offer an alternative to anyone who doesn't want to be recorded. We build those notices in; a lawyer handles anything unusual.
Do we need French for Quebec customers?
For Quebec customers, yes. Quebec's language rules require French for commercial content aimed at Quebec customers, and an AI greeting or follow-up is customer-facing. Our Quebec page explains the details.
Which AI vendor do you use?
We don't push one. We help you choose based on your phone system, CRM, languages and budget, and you verify each vendor's features and prices on its own official pages.
Do you fix HVAC equipment?
No. We are a marketing and business consulting service. We don't install, repair or service anything.
How do we report results?
A weekly scorecard during the pilot and a monthly report afterwards, using measures agreed at the start: answered rate, bookings, quote close rate, minutes saved, errors and complaints.
Cost: what you pay and what you get
AI work sits inside the HVAC plans shown on our pricing page, starting at $2,998 per month plus GST/HST, rather than being sold as a separate subscription. The vendor tool is a separate cost, priced on the vendor's own pages, and we recommend it is itemised in your proposal so you can see the total.
The fairest test of value is the pilot: if the AI doesn't recover more than it costs, including staff review time, it shouldn't stay. Our pilot scorecard guide shows the maths.
Risk: what goes wrong and how it is contained
The common AI failures on HVAC calls are mundane: misheard phone numbers, missed emergencies, invented answers, and callers who can't reach a person. Each one has a design fix, and our phone failure guide lists them with a 40-call test plan.
Containment is the other half. AI runs first on overflow and after-hours only, staff read transcripts daily in week one, and a short list of topics (price, diagnosis, safety, program eligibility) always goes to a person.
Privacy: the rules that apply
CASL governs AI-sent texts and emails, privacy law governs the data your AI vendors receive, recording calls carries notice expectations, and Quebec adds a notice for decisions based only on automated processing. We summarise all four in our consent and privacy guide and build them into every setup through our AI privacy and review rules service.
We don't give legal advice. Where your situation is unusual, we'll say so and suggest you check with a lawyer.
Before you sign with any AI vendor
Whether or not you work with us, ask every AI vendor these questions and get the answers in writing:
- Where are call audio, transcripts and customer records stored, and for how long?
- Is our data used to train or improve your models, and can we switch that off?
- How does a caller reach a human, and how fast?
- Can we lock specific answers, such as safety wording, so the AI cannot rephrase them?
- What does the tool cost at our call or message volume in a peak month, not an average one?
- How do we export our data and scripts if we leave?
A vendor that can't answer these clearly is telling you something. Check features and prices on the vendor's own official pages rather than relying on a sales call.
Who this is for, and who it isn't
AI help makes most sense for HVAC companies that already get a steady flow of calls and quotes and lose some of them to busy lines, after-hours gaps or slow follow-up. It makes less sense for a company that answers nearly every call and chases every quote today; there, the money is usually better spent on marketing that brings in more work.
If you're not sure which group you're in, the 7-day free trial is designed to find out, using your own numbers.
Control: you stay in charge
Accounts are in your name, scripts and templates are yours, and nothing customer-facing goes live without your approval. You decide which tasks the AI may handle, and you can narrow or switch it off at any time.
We are a marketing and consulting service and never touch your equipment or your customers' homes. For more on who we are, see about us.
